Privacy Policy

This Privacy Policy explains what information the Untangled Discord bot and the web dashboard at untanglebot.app (the “Service”) collect, how we use it, and the choices you have. We aim to collect only what is needed to make the features you enable work. By using the Service you agree to this Policy.

1. Information we collect

To provide the Service, we may process the following, depending on the features you use:

• Discord identifiers: user IDs, server (guild) IDs, role IDs, and channel IDs. These are how Discord and the bot refer to accounts, servers, and channels.
• Activity data: counts and timestamps of messages and voice activity, command usage, and invite information, used for features you enable such as leveling, leaderboards, analytics, and invite tracking. We store aggregate counts, not the full text of ordinary messages.
• Message content (transient / feature-specific): when you enable features that must read messages (such as auto-moderation and word filters, or the optional AI chat when the bot is mentioned), the relevant message is processed at that moment to perform the action. Message content is not retained for these features beyond what is needed to perform them, except moderation log entries that you configure the bot to keep.
• Configuration you set: the settings, panels, and preferences you create through commands or the dashboard.
• Dashboard sign-in data: if you log in to the dashboard with Discord, we receive your Discord user ID, username, avatar, and the list of servers you can manage, in order to authenticate you and show only the servers you are allowed to configure. We use a session cookie to keep you signed in.

2. How we use information

We use the information above to:

• Operate and provide the features you and your server’s administrators enable;
• Moderate content and protect servers when those features are turned on;
• Generate the statistics, level cards, and analytics you request;
• Authenticate dashboard sign-ins and secure access to a server’s settings;
• Maintain, troubleshoot, and improve the reliability and security of the Service.

We do not sell your data, and we do not use it for advertising.

3. Legal basis and consent

We process data to perform the Service you request and for our legitimate interest in operating and securing it. A server administrator who adds the bot and enables features does so on behalf of that server. You can withdraw at any time by disabling a feature or removing the bot.

4. Data storage and retention

Data is stored on secured servers we operate. We keep configuration and activity data while the bot is in your server and the relevant feature is in use. If the bot is removed from a server, or you ask us to delete your data, we will delete the associated configuration and activity data within a reasonable period, except where we are required to keep it to comply with the law or to resolve disputes.

5. How information is shared

We share information only in these limited situations:

• The Discord platform: the Service runs on Discord, so data necessarily passes through Discord to deliver messages and actions. Your use of Discord is governed by Discord’s Privacy Policy.
• Service providers: we use a small number of third-party providers to deliver specific optional features. For example, an AI provider generates responses for the optional AI chat feature, and top.gg sends vote notifications if you use that integration. They process only what is needed for that feature.
• Legal requirements: we may disclose information if required by law or to protect the rights, safety, and security of our users or the Service.

6. Your rights and choices

• You can turn any feature off at any time through commands or the dashboard;
• You can remove the bot from your server, which stops further data collection for that server;
• You can request access to, or deletion of, the data associated with your account or server by contacting us (see “Contact” below).

7. Children’s privacy

The Service is not directed to anyone under 13, or under the minimum age required to use Discord in their country. We do not knowingly collect data from children below that age. If you believe a child has provided us information, contact us and we will delete it.

8. Security

We take reasonable technical and organizational measures to protect data, including restricting access and securing our infrastructure. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date above. Significant changes may also be announced through the Service or our support server. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
